Section 1 - Quick Start Guide!
Onboarding your dealership(s) can be a Busy day. And important to get through as the following videos will familiarize you with Botdoc. They are all Really short but Important. We advise you have your Botdoc account open in another browser so you can also see it live.
WHO can onboard or oversee the rollout and training for your dealership locations?
The HQ POC can set up all necessary users, queues, and remote users via the ORG functions from one centralized team.
The HQ POC can invite an Admin to the ORG to set up/train any teams (users, queues, and remote users) or to be able to oversee more than one team after setup.
If you have multiple locations you can designate an Admin for each rooftop location.
Get Yourself Prepared
Step 1 Schedule your "Go Live Date" with your Sales Associates, Sales Managers, Business Managers and anyone else that will be using Botdoc. This will be your official Launch Date!
Step 2 Compile a list of every users Name, Email and Mobile Phone Numbers
o 1st list: for Sales Managers, Business Managers and anyone that will need full login access to Botdoc
o 2nd list: for sales associates who will have remote access (not full login access)
*NOTE - Remote Users were designed to allow for “outside” individuals to send URL Automations (via short-codes from their mobile phones) to collect documents without needing to have direct access to the Conversations Product.
Full User = this person has a Botdoc login and access to the P2 conversations dashboard (and P1 dashboard).
Remote User = this person only has access to the URL links and no login permissions to Botdoc dashboards.

Owners and Admins of any team can now view and manage multiple Teams with full visibility. Full visibility entails P1 team access, creating queues, sending invites to any team, and assigning permission levels.
Imagine that your auto dealership has 10 dealerships that your HQ POC, Admin POC or IT department would need access to! The Organization feature allows this without having them to log into 10 different accounts! Click HERE for additional detailed instruction or FAQ

Set up queues BEFORE you add users.
We suggest adding 2 Queues to your account, one for New car sales and one for Used cars sales.
Add F&I, Sales Managers and Business Managers ONLY
(not remote users at this stage)
While adding users you can pre-select their permissions and then pre-select what Queue you want to assign them to.

Adding your Sales Associates contact information is a key step BEFORE you can send them their personal URL links for SMD short code set up

*Tip: BEFORE you click on the blue "send SMS" button, we suggest that you copy the remote users URL link in the bubble to the left of the screen, then click the "send SMS" button and paste the URL link into your remote users contact info (or paste it into any internal spreadsheet you may have for your remote users so that you can identify their URL's)

send each sales associate/remote user their automation flow links via the Personal URL Automations so sales associates can initiate containers via a short-code from their mobile device
*Note: your sales associates can hard code a custom text phrase for their replacement text inside their keyboard. This would be the message that the customer would receive along with the URL link.
“General Document” links will open an automated flow to collect documents using PULL features.
“ID Request” links will open an automated flow for collecting data from and validating a Drivers License (as well as a PULL feature for collecting documents AFTER an ID has been validated). (this is a paid feature)
Create a QR Code!
You will still have to set up each remote user contact with the personal URL Automation but with this URL the remote user can send or access any customer by several open-ended options.

Best Practice:
Schedule a day and times to meet with your dealership staff in a conference room
Schedule two meetings
One meeting with sales associates who will be remote users (remote users only have access to the URL links and no login permissions to Botdoc dashboard)
Another meeting with Sales Managers and Business Managers (and F&I Managers if they will be using Botdoc) who will have login permissions to the Botdoc dashboard.
Larger dealerships you may want to schedule multiple meetings to accommodate the size of your conference room and schedules.
Don't worry you will just have to play videos of us talking during those meetings!
